Administrative Assistant
Seeking highly organized individual to provide full-time administrative, clerical, and project support to the Worthington Scholarship Foundation.
Expected start date: ASAP

Position Responsibilities
- Direct support of Executive Director with all administrative needs and other duties as assigned.
- Assist Director of Student Support and Student Accounts Manager in administrative needs including scheduling meetings, data entry, and record-keeping.
- Maintain a system of accurate record-keeping for board minutes and reports, scholar files, financial records, and foundation records including legal documents, permits, contracts, and insurance coverage policies.
- Schedule and manage meetings for the board, staff, scholars, and others as needed.
- Manage staff reporting schedule and send updates to the board.
- Help plan and implement both in-person and virtual events.
- Help to organize all details of board meetings 2x annually.
- General office duties such as ordering supplies, managing office space for interns, volunteers, and temporary employees, coordinating office equipment maintenance, and other office duties as needed.
- Update information on website as needed.
- Create Constant Contact emails and notices.
- Manage creation of promotional materials such as brochures and posters and distribute to high schools and bank partners.
- Distribute press releases to media.
- Maintain current list of high school and college contacts.
- Prepare award lists for announcements at high school awards nights and graduation.
- All other duties as assigned.
- Must be able to work full-time, in-person at the Rockland, Maine office.
- Must be physically and mentally capable of performing multiple tasks and able to function in a fast-paced environment.

- Education: High school diploma or equivalent required.
- Experience: Prefer two years of direct/related experience.
- Preference in working in a small, team-oriented work environment.
- Knowledge, Skills and Abilities:
- Fluency in Microsoft Office Suite; prefer solid experience with Word and Excel.
- Strong word processing skills, strong grammar and spelling, attention to detail.
- Good communicator, written and verbal.
- Ability to manage multiple projects at the same time while maintaining focus, close attention to detail and skill in prioritizing and meeting deadlines.
- Strong communication, planning, and organizational skills.
- Superb inter-personal and relationship-building skills; ability to work collaboratively with a diverse group of board members, staff, interns, and volunteers; must be comfortable interacting with different personalities.
- Some night and weekend work required.
- A high level of integrity, respect for confidential nature of the work and extraordinary work ethic.
- Must have completed COVID-19 vaccination process or have an approved exemption.

Student Support Associate
Reports to: Director of Student Support
Position Description:
Worthington scholars may be first in their families to attend college and/or have overcome significant barriers to attend college such as financial hardship, food insecurity, and homelessness. WSF aims to keep students in college and earn a degree despite these hardships. The Student Support Associate will provide personalized support to Worthington Scholars throughout their college experience and, when necessary, connect them with appropriate resources provided by colleges, partners, and other institutions. The role of the Student Support Associate is to serve as a safe, confidential, high-quality sounding board and informal advisor based on the student support associate’s judgement and the scholar’s individual needs and preferences but is not serving as a professional academic or financial advisor, therapist, or legal or health professional and should not be viewed as equivalent.
Primary Duties & Responsibilities:
Scholar engagement and support: prepare for, schedule, and attend one-on-one in-person or video-based campus visits with Scholars. Documenting all interactions. Scholar communications: communicate with and update Scholars via text, email, social media contests, group video conferencing chats, and newsletters. Scholar events: assist with planning and coordinating Scholar events at partner colleges and attend the events. Scholarship application: assist with the processing of scholarship applications. College services and community partners: develop relationships with college support systems, partner organizations such as JMG, TRIO, and Embark, and other community resources to connect scholars to services required to ensure their college success. Other Foundation duties and responsibilities: WSF is a small, fast-paced organization and all staff is expected to do whatever assignments are given at needed times during the year.
Preferred Qualifications:
The Student Support Associate is expected to live in Maine and be physically present in the WSF office in Rockland, Maine 2-3 days per week. The Associate must have the ability to travel through the state using a personal vehicle and is required to have a valid driver’s license and verifiable auto insurance.

- Master’s degree in psychology, social work, education or related field and 3-5 years of relevant experience
- Experience using a database such as GradSnapp is a plus.
- Knowledge of college admissions process or financial aid is a plus.
- Experience as a Worthington Scholar is a plus.
- Bachelor’s Degree in psychology, social work, education or related field and entry to 1+ years of experience
- Experience working with college or upper-level high school students.
- Strong written and verbal communications skills.
- Proficiency with social media platforms.
- Proficiency with Microsoft Word and Excel.
- Proficiency in using video conferencing such as Zoom.
